Job Summary:

Are you interested in being a key contributor to our highly skilled Legal Operations team? We are looking for a Contract Administrator to manage legal documents for clients and talent, thereby increasing the operational efficiency of contract completion! This person will have daily exposure to different types of contracts and support requests from various areas of our company. We are looking for someone with strong attention to detail, with the ability to be decisive and help to push the process forward, ensuring operational efficiency at all times.

This is a remote position. We do not offer visa sponsorship or assistance. Resumes and communication must be submitted in English.

Responsibilities:

  • Examine, monitor, and manage client and talent agreements, ensuring that all contracts are executed accurately and error-free.
  • Collaborate cross-functionally with the Customer and Talent Operations teams to ensure their contract needs are fulfilled.
  • Maintain a comprehensive understanding of our operational processes, managing and applying knowledge of US tax forms and Sanctions rules (including OFAC) in daily operations.
  • Consistently monitor activity on Slack and provide immediate support for any contract or compliance inquiries.

In the first week, expect to:

  • Understand the team’s dynamics, needs, and demands to develop as an effective team member.
  • Onboard and integrate into Toptal.
  • Obtain a deep understanding of Toptal’s organizational tools and processes.

In the first month, expect to:

  • Have a deep understanding of the Operational aspects of managing talent agreements.
  • Begin to familiarize yourself with the Operations involved in managing client agreements.
  • Feel confident in your understanding of the US Tax Forms and Compliance processes.

In the first three months, expect to:

  • Become familiar with the various Operations involving clients and our talent network.
  • Start engaging with team members to seek out process efficiencies.
  • Develop strong personal relationships with the Customer and Matching teams to help drive the documentation that supports our sales and talent network efforts.
  • Take responsibility for our internal corporate and regulatory Compliance, exercising discretion and independent judgment.

In the first six months, expect to:

  • Be an active team member able and willing to pitch in on workflows as needed.
  • Have a deep understanding of the Operations involved in managing talent and client agreements.
  • Be an understudy to more senior team members and be able to serve as backup coverage.

In the first year, expect to:

  • Be able to take independent ownership of specific workflows or internal projects.
  • Be considered fully trained and capable of training others in the Legal Operational flows.
  • Viewed as helpful and a team player by the team, internal teams, clients, and talent.
  • Continue to identify areas to improve efficiency and up the game on your team.

Qualifications and Job Requirements:

  • Bachelor’s degree is required.
  • 1-3 years of experience in Operations, HR, Administrative, Contract Management or similar.
  • Thorough understanding of sanctions regulations (including OFAC) and US tax forms.
  • Experience working on contracts is required, with a strong preference for experience working on contracts written in English.
  • Outstanding written and verbal communication skills, perfect grammar, a strong command of the English language, and an eagle eye to catch errors or inconsistencies in our work.
  • A strong team player with a can-do, positive attitude. You must be willing to pitch in and help your teammates, share your knowledge, and learn from them.
  • Highly driven, and self-motivated. You must be able to work under pressure and adhere to tight deadlines while never sacrificing quality.
  • You must work well with individuals across all functions, and be able to communicate clearly and constantly with teams via Slack and other collaboration tools.
  • Ability to work in a fast-paced, rapidly growing company and handle a wide variety of challenges, deadlines, and a diverse array of contacts.

As Toptal's General Counsel, Bill provides legal and strategic guidance on the issues that confront Toptal as a US-based, global company. He brings to the role over 20 years of experience. Prior to Toptal, Bill served as General Counsel of Bottomline Technologies (Nasdaq: EPAY), a global B2B fintech company, and as General Counsel of Plymouth Rock Assurance, a Boston-based insurance group. Before that, Bill was a corporate lawyer with WilmerHale and Posternak, Blankstein & Lund. Bill is a graduate of Harvard and Harvard Law School, and studied as a Rhodes Scholar at Oxford, earning his PhD in International Relations.
