Audit Tracking & Reporting System

Developed an automated Excel-based solution for a corporate client to centralize and streamline audit management across vessels, ships, vendors, and office compliance areas.

The client previously relied on multiple Excel sheets with different rules for each audit type, making it difficult to track schedules, generate reports, and monitor audit performance. Many audit items were frequently missed, and manual follow-ups consumed significant time.

I analyzed the entire manual workflow, identified bottlenecks, and designed a centralized repository with user-friendly pop-up forms to capture and track key audit details, including vessel, ship, audit type, vendor, office, date, auditor, schedule, and findings. I also developed dynamic reporting with pre-configured templates and custom report generation—based on user preferences and integrated email automation for reminders and advance notifications—and implemented a calendar-based schedule management module.

This solution eliminated manual tracking, ensured no audits were missed, improved visibility through summary counts by date and year, and delivered substantial time and cost savings, enabling the client to fully depend on this tool for all audit activities.

Automated Bid Generation from Multiple Excel Sources

This project focuses on developing an automated system to generate professional bid documents in Microsoft Word using multiple Excel sheets as the data source. The source records include bid details for multiple items across different categories, along with client information and pricing data. The solution employs a custom VBA form in Word, which facilitates user-friendly dropdown menus that dynamically populate records from the Excel sheets. Dependent dropdowns are implemented, so selections in one dropdown automatically filter and populate options in the next, ensuring accurate and relevant data entry. In addition to dropdowns, the form contains input fields for quantities, special notes, or other client-specific information. Using VBA, the system consolidates selected data, populates a Word template with client details, category-wise itemized lists, quantities, and total amounts, and automatically generates individual bid documents. This automation ensures accuracy, eliminates manual errors, saves significant time, and produces consistently formatted, professional bids, even when multiple items from different categories are included. The solution is scalable and adaptable, streamlining the entire bid preparation workflow.

Word Template Automation

Developed and automated a Microsoft Word template to streamline and standardize document creation. The solution incorporated revised styles, Quick Parts, custom tables, a user form, custom Ribbon, image gallery, and building blocks to improve usability and efficiency. Custom Ribbon buttons were implemented for quick insertion of predefined content, along with integrated functionality for storing and accessing images directly within the template. This automation enhanced document consistency, simplified workflows, and significantly reduced manual effort.

Work Order Tracking and Estimation Tool

Developed an MS Access database to manage and track work orders from initiation to closure, providing complete workflow visibility and control. The system monitored job progress, maintained status records, and automated email reminders to notify users and management of pending or overdue tasks, ensuring timely completion and accountability.

The tool automatically generated service items, material requirements, and detailed cost estimates based on user inputs, reducing manual effort and improving accuracy. It also produced purchase order item lists, cost breakdowns, and accountability reports.
