Position Description

Reporting directly to the Corporate Controller, the Senior Payroll Manager will be responsible for ensuring the accurate and timely processing of both domestic and international core team payments, including variable pay. This person will also review and approve all annual & quarterly tax filings, approve all W-2’s at the end of the year, research & resolve domestic tax notices as necessary, manage & process talent payments, partner with various teams for system & process improvement, provide various teams with payroll-related reporting (both ad-hoc & scheduled), assist in annual financial statements audit, research any payment, bonus or commission related questions, and take necessary action to resolve any requests and issues while ensuring the proper control environment is maintained.

Responsibilities will include various other duties as assigned, and you will work with Toptal’s Finance team to continuously make our systems and processes more efficient. The Senior Payroll Manager position will be required to perform at a high level of proficiency with minimal supervision.

This is a remote position that can be done from anywhere. Due to the remote nature of this role, we are unable to provide visa sponsorship. Resumes and communication must be submitted in English.


  • Handle tasks, from a variety of sources, timely and with extremely high attention to detail.
  • Provide the highest level of customer service to our members, ensuring that all inquiries received are either resolved or are on a clear path to resolution within 24 hours of the time they are received.
  • Manage workflows to ensure all payroll transactions are processed accurately and timely.
  • Manage workflows to ensure all necessary control procedures occur prior to disbursement initiation.
  • Reconcile Payroll related GL accounts and produce reconciliation packages for the Corporate Controller’s review/approval.
  • Give the proper oversight to all external Payroll partners/providers (including UKG) and escalate issues when necessary.
  • Ensure accurate and timely monthly, quarterly & year-end reporting.
  • Research & resolve domestic tax notices as necessary.
  • Document, maintain and process all commission and bonus payments – including researching and resolving all inquiries as necessary, and continuously working with our Product team to optimize processes & enhance reporting for end-users.
  • Process expense reimbursements.
  • Manage Payroll inbox (via Earth Class Mail).
  • Manage the adherence to the 401k plan document & manage the annual audit.
  • Manage talent payment and inquiry process and ensure timely resolution of all issues.
  • Work in tandem with both People and Finance leaders to ensure a high level of communication and transparency.
  • Work collaboratively with multiple teams as appropriate to solve complex or difficult situations quickly and efficiently.
  • Partner with the People team to ensure data integrity within the HRIS system (payroll data, cost center structure, alignment across internal systems, etc.).
  • Be in constant communication with team members using a variety of remote communication applications.
  • Drive best in class enhancements to processes and controls for areas of oversight.

In the first week, expect to:

  • Onboard and integrate into Toptal.
  • Rapidly begin learning about Toptal’s history, culture, and vision, with a heavy focus on how Finance operates at Toptal.
  • Shadow key teams across the company to learn the core of Toptal’s operations and capabilities that are relevant to the role.

In the first month, expect to:

  • Understand the talent payments process, including the support function to the talent network regarding their account access, payment methods and tracking payments.
  • Train to fully understand payroll processing and other related functions.
  • Understand employee life cycle processes across teams such as Recruiting, People & Payroll.
  • Understand all existing processes, documentation and reports related to the role.

In the first three months, expect to:

  • Have an in-depth understanding of how US and International Payroll for semi-monthly payrolls applies to Toptal.
  • Ability to process US and International Core Team payroll independently.
  • Complete knowledge of all core team variable pay and related documentation and reporting.
  • Complete knowledge of quarterly tax reconciliation, and resolve any discrepancies as needed.
  • Maintain 401k plan in accordance with the plan document and execution of 401k contribution process.
  • Ability to research and resolve any talent payment escalations as needed.
  • Ability to research and resolve any payroll payment escalations as needed.

In the first six months, expect to:

  • Maintain and evolve all payroll-related documentation in Confluence..
  • Ensure all process documentation is reviewed and additional processes are documented.
  • Evaluate the efficiency of the current operational processes and make recommendations for long-term success, with a plan for implementation.


  • 10-15 years of experience in payroll preparation and processing. Manager level experience is required.
  • Must be a self-starter who takes ownership of the role they are in, has a high level of initiative and drive, and maintains a high level of integrity.
  • Must be able to thrive in an unstructured environment and complete day-to-day tasks as well as larger projects with minimal supervision.
  • Experience documenting, maintaining & processing variable compensation plans such as multiple commission & bonus plans.
  • Experience performing GL reconciliations, researching variances, and recommending/performing proper remediation steps.
  • Must possess a high level of proficiency and skill in customer service, and team building/collaboration.
  • Ability to deal with confidential material in a sensitive manner.
  • Must have excellent problem-solving skills.
  • Must have strong computer skills, including strong proficiency in Excel (pivot tables and lookups).
  • Ability to collaborate with fast-moving teams in a high-demand environment.
  • English fluency is required.

Before joining Toptal, Andrew was the CFO of Kindle Energy, a Blackstone portfolio energy company, and CFO of Mercuria Energy Americas, a global energy trading firm. He also worked at Constellation Energy for many years in numerous executive roles, culminating as the head of mergers and acquisitions. Andrew earned a BS in Economics from MIT and an MBA from the University of Chicago.

As Toptal’s VP of Finance, Carlos oversees the company’s financial operations, ensuring sustainable company growth and seamless global payments infrastructure for Toptal clients and network talent. Previously, he led the Finance and Investor Relations functions for BrightStar, of which he helped sell a majority stake to Softbank at a $2.2 Billion valuation. He also has extensive experience in capital raises, M&A initiatives, financial roadshows, and financial system implementations. Carlos has a BS in Finance and an MBA from the Rochester Institute of Technology.
